Refund & cancellation policy

This policy applies to fees for financial auditing and related assurance engagements with Umibe Assurance Office. It does not cover goods, software subscriptions, or services we do not offer.

Eligibility

Refund questions arise only after a fee or deposit has been paid under a signed engagement letter. Website estimate requests do not create a charge.

Timeframe

Cancellation or refund requests should be sent in writing to hello@cloudalgonet.digital as soon as you know the engagement cannot proceed. We respond within ten business days.

Full or partial refunds

• Before fieldwork begins: If you cancel more than fourteen days before the planned start and we have not yet incurred external confirmation or travel costs, deposits are refunded in full minus a ¥30,000 administrative charge.
• After planning has started: Fees for planning hours already worked are retained; unused fieldwork fees may be refunded proportionally.
• After substantive fieldwork has begun: Fees for completed procedures are non-refundable. Remaining unused stages may be partially refunded at our discretion after accounting for partner review already performed.

Non-refundable items

• Fees for work already delivered (issued reports, completed agreed-upon procedures, signed opinions).
• Third-party costs already paid (specialist valuations, translation, travel booked non-refundably) when incurred with your prior agreement.
• Administrative charge on late cancellations as stated in the engagement letter.

Refund process & method

Approved refunds are returned to the original payer by bank transfer within twenty-one business days after approval. We do not process card checkout on this site.

Cancellation & rescheduling

You may request a new fieldwork window subject to our calendar. One reschedule without fee is allowed if requested at least ten days before the original start. Further moves may incur a rescheduling charge stated in the letter.

Deposits & no-shows

Deposits secure inventory observation and partner weeks. If client personnel fail to provide agreed access on scheduled fieldwork days without timely notice, the deposit may be applied to wasted staff time and is not refundable for that portion.

Work already started & materials

Working papers prepared for your engagement remain our property under professional standards; copies of client-provided documents can be returned on request. Purchased third-party reports obtained for the engagement are billed at cost and are not refundable once ordered.

Exceptions

If we withdraw for independence or ethical reasons not caused by you, prepaid unused fees are refunded in full. If withdrawal follows incomplete information or refusal of access after repeated requests, fees for work performed remain payable.
